Information the service uses

We process your email address, name, company details, team memberships, equipment prices and the customer information you enter in estimates. We use this information to authenticate users, calculate and store quotes, deliver estimate emails and administer subscriptions. Do not enter information that is unnecessary for those tasks.

Service providers

Supabase provides authentication and database storage. Stripe processes subscriptions and payment details; HVACPrice stores subscription identifiers and status rather than full payment-card numbers. Resend delivers application emails. Hosting and error-monitoring providers process the request and diagnostic information needed to operate the service.

Optional AI assistance sends the relevant search text, equipment descriptions or sample CSV rows to DeepSeek to produce a response. Standard keyword search and template CSV imports can be used without that assistance. Review generated text before sharing it with a customer.

Cookies and diagnostics

Authentication cookies keep you signed in. When product analytics is configured, we collect page views and feature events to understand usage; automatic form capture and session recording are disabled. Error monitoring helps diagnose failures. Avoid putting secrets or sensitive personal information into equipment descriptions or support messages.

Access and retention

Your company members can access the information allowed by their roles. Removing a team member disables their access while preserving historical estimates. Canceling billing does not automatically erase company records. Contact support to request an account export, correction or deletion; we will verify your authority over the account before making changes. Some transaction records may need to remain in payment-provider systems.

Customer information

Only enter or send customer information you are authorized to use. You control the recipients and content of your estimates. We use that information to provide the requested service, not to create public customer listings. Contact support if you believe information was sent to the wrong recipient.
