How to estimate HVAC labor hours for a price book
A practical way to turn completed HVAC jobs into labor-hour assumptions your team can review and use consistently.

Start with completed jobs, not a guess
Labor hours are most useful when they come from work your team has actually completed. Pull a small set of similar jobs and note the work included, the number of people involved, the elapsed time, and any unusual conditions. A standard split-system replacement and a replacement with difficult attic access should not automatically share the same labor assumption.
Use the total labor effort, not just time on the clock. If two technicians work for four hours, the price-book entry needs eight labor hours. Include the normal work that belongs in the defined scope, such as setup, removal, installation, startup, testing, cleanup, and routine customer handoff when those are part of your standard job.
Define the standard scope first
Write one clear description of what the price-book item includes. A labor estimate cannot be reliable if one technician includes disposal and standard electrical connections while another treats them as extra work. List the common inclusions alongside exclusions such as major duct changes, permits, crane access, structural repair, or unusually long travel.
Create a separate line or approval path for predictable exceptions. This protects both the technician and the customer: the technician can choose the standard item quickly, and the customer can see why additional work changes the price.
Use a reviewable starting number
For a new entry, compare several completed jobs with the same scope. Look for the normal range and identify why outliers took longer or less time. Choose a starting number your owner can explain, then mark it for review after a handful of future jobs. This is a business assumption, not a manufacturer specification or a promise about every installation.
Avoid hiding missing materials, overhead, or difficult work inside labor hours. If a price looks too low, check the cost list and scope before increasing labor just to make the final total look better. Clear inputs make later corrections much easier.
Connect hours to your pricing model
The labor hours in a price book are multiplied by your modeled hourly labor cost, then combined with materials and your markup. Review what the hourly rate contains so payroll-related costs, overhead, and markup are not accidentally counted twice. Your bookkeeper or accountant can help match the model to your business records.
Illustrative example: a job with $1,200 of equipment and materials plus six labor hours at a modeled $75 per hour has $1,650 of modeled direct cost. A 1.50 multiplier produces a $2,475 selling price before separately calculated tax. The example explains the calculation; it is not a recommended price for every contractor.
Review after real jobs
Compare the assumed hours with completed work on a regular schedule. If the same scope repeatedly needs more time, update the entry. If the difference comes from a recurring exception, keep the standard item and add a separate item or clear approval step for that exception.
